STEM Ambassador Recruitment 2021/22
Congratulations on your new role and welcome to the STEM Outreach Team!
We are looking forward to working with you over the coming months to inspire the next generation of STEM professionals.
In order to confirm your role, we now need you to complete your induction, which is detailed below.
This process should take you just over 4 hours to complete. This includes a live training session (detailed in your interview outcome email). You will be paid for your time once your induction is complete.

Part 1 - HR Paperwork
The first part of confirming your new role is to complete the HR elements of your induction. This includes completing your Contract Form, Bank Details Form, Media Permission Form.
Although it looks like a lot, completing Part 1 should take around 30 minutes.
The deadline for completing Part 1 of this process is 23:59 on Sunday 12th December 2021.
This is a tight turnaround, but HR ideally need to process these documents ahead of the Christmas closures.
Right to Work Checks
We now need to check that you have the right to work in the UK. This could be by checking one of the documents in this list – for most of you, this will be your Passport, or if you are an international student, your Biometric Residence Permit card.
Please take a clear, colour photo or scan of your chosen document.
If this is your passport, please take a picture of the page with your photograph and passport details on it.
If we need to see your BRP, please take a picture of both sides of your BRP card.
Once you have taken the photo / scan, please save this on your device – you will need to send this to us later on in the process, once you have completed your other forms.
Contract - SS4 Form
Next, we need you to complete your SS4 form, which forms your employment contract.

Payroll - Bank Details Form
You now need to complete your bank details form, so that we can pay you for any work undertaken as part of this role.

Media Permission Form
We now need you to complete media permission and contributor release form, if you wish to give us permission to use your image in our outreach and publicity materials, and the resources that you may design and deliver as part of this role.

DBS Intention Slip
As part of our commitment to safeguarding young people and students who take part in our activities, all our student workers need to have completed an Disclosure and Barring Service check, to check the suitability of those seeking to work for us, in positions of trust. We will provide more guidance about this later in the process (Part 2).
(We understand that you may already have a DBS check as part of another role, however you will require another one for this role - this will come at no cost to you however as we will cover the cost of the check).
Dependent on your intentions for work, we will require a different level of check. We therefore you require to complete a DBS Intention Slip. *Please keep a note of the option you select on the form, as this will need to match with the option you select on your application form.*

Submitting Your Documents
It is now time for you to send us your HR paperwork, which includes your:
- Right to Work document(s)
- SS4 form
- Bank details form
- DBS intention slip
- Media permission & contributor release form
In the email, you should also indicate your availability during the weeks commencing Monday 6th December or Monday 13th December for a 5 minute MS Teams call with us to check your Right to Work documents.
Please send the completed documents as attachments (not as links to cloud-based services) to stem@leeds.ac.uk, with the subject line in the format 'HR FORMS - FIRST NAME LAST NAME - ROLE). e.g. HR FORMS - JOE BLOGGS - STUDENT AMBASSADOR.
This will help us swiftly process your forms and is greatly appreciated by the team.
Next Steps
Now that you have sent us your HR paperwork, please move on to Part 2 and complete your online training, and your application for a DBS check.
Part 2 - Online Training and DBS Check
Part 2 on your induction covers your online training and applying for your DBS check.
Please ensure you complete your application for a DBS check (under Part 2B) as soon as possible, and undertake our online training series (under Part 2A).

Part 2a - Training
Once you have completed your HR paperwork, you will need to complete our online training modules, which should take around 2 hours 30 minutes to complete. The training modules must be completed by Sunday 2nd January.

Microsoft Teams Area
Once you have completed the induction process you will be given access to a Microsoft Teams Area. his area will be used to advertise work opportunities and keep you informed about any other updates. In this area, you will find the Code of Conduct and the Student Worker Handbook.
In person training session
There will be a live training session on Wednesday, December 8th, 2021. This will be a compulsory session where we talk about the specifics of the role within STEM.
In the interview outcome email, we asked you to pick one of two times on December 8th or defer your training into the new year (date to be confirmed).
You will receive a further email confirming your training session time and location.
Part 2b - DBS Check
You will need to complete a Disclosure and Barring Service (DBS) check. The sooner you can complete this, the better, but the deadline ideally for completing this process is in 2 parts:
- Submit your DBS application by Sunday 12th December
- Arrange to have your documents verified by 12 noon on Friday 17th December 2021
In extenuating circumstances, where you do not have access to your documents due to current travel restrictions. In such cases, please contact stem@leeds.ac.uk as a matter of urgency, so we can advise you accordingly.
This application process in its entirety should take no longer than 15 minutes, which includes a short Microsoft TEAMs call, where an administrator will verify your documents and help resolve any problems with your application.
We do recommend however completing your application for a DBS check as soon as possible, as you will not be able to work in your new role until you have received your certificate.
Getting prepared!
You will not be able to undertake any outreach work with young people until your DBS check is complete and we are satisfied with the outcome. We would therefore advise getting organised and completing actions ASAP. The main hurdle for our student workers, due to having temporary term-time addresses, is collecting documents to support your application and matching these correctly with the current address you list on the application. So we have included some advice about this for you to consider in advance:
Like with your Right to Work check, you will be required to send clear scans or photos to us and you must be able to present these during your MS Teams call so they can be verified. *Therefore you must have access to ORIGINAL documents, not photocopies or printouts.*
- At least one of the documents must evidence the address you list as your current address when completing the application form.
- You can view the different combinations of documentation to support your DBS application here, but some common combinations include:
- Driving license photocard – (full or provisional), passport and birth certificate
- Passport, bank statement and driving license photocard – (full or provisional)
Things to check/remember:
- Please check the guidelines around issue date for documents in group 2b. Some documents need to have been issued within 3 months of the date that you show them to us, and others need to have been issued within 12 months from this date.
- Bank or building society statement MUST be stamped by the bank for proof of authenticity or posted to you directly. A print out from your online banking is not an official document which can support your application.
- A letter from the bank is only applicable if it is an opening confirmation letter or a bank statement.
- When choosing your documents, think carefully about the address they evidence. At least one of the documents must evidence the address you list as your current address when completing the application form.*All documentation which is emailed to support your application will be deleted in compliance with GDPR, once we have sent your application for review.*

DBS Check Application
Firstly, we need you to submit an application for a Disclosure and Barring Service (DBS) check. You will not be able to undertake any outreach work with young people until this has been returned and we are satisfied with the outcome.
Please watch the video guide below, which will walk you through completing your DBS application.
To complete your application for a DBS check, please click here to go to the First Advantage Online Disclosures website. From here, click the ‘register’ button in the top right-hand corner. The organisation pin and secret word you will need to register will have been sent to you in an email.
Once you have completed your application for a DBS check, you will need to have your documents verified by a member of the team.
DBS Documents Verification
You now need to book a slot call to have your documents verified by a member of the team.
To do this, please email Adam at stem@leeds.ac.uk, with the subject line ‘DBS Verification’ with your availability for the week commencing 13th December. The verification appointment should take no longer than 15 minutes.
Please ensure you have completed your DBS application before your allocated call time, otherwise, we will not be able to verify your documents.
Ahead of your slot please ensure you have:

- Emailed clear scans / photos of your documents to Adam at stem@leeds.ac.uk in advance of your allocated time, so we can check they meet the guidelines. Our copies will be deleted in compliance with GDPR, once we have sent your application to First Advantage.
- You will need to show us ORIGINAL versions of your documents listed in your application, so please have this with you during the slot you book.

DBS Certificate
Designated members of the team will be able to review the outcome of your DBS check and your certificate will be sent to the address you listed as your current address. Please keep this safe, should you be asked to present it during your employment.

If you have completed all of the above, you have now completed your induction – congratulations!
You can now submit your timesheet for 4 hours and 15 minutes (4.25 hours) via this link.
(the event date can just be the day you completed all of the above induction tasks, for ‘event name’ you can just enter ‘training’).
Please note that a member of the team will be verifying all actions are complete before submitting your hours to payroll.
You will now soon be able to keep an eye out for work opportunities advertised in the relevant MS Teams site for your role (upon commencement of the role in 2022).
You will be paid for this induction on January 31 2022.
